Connect Microsoft Outlook 365 to CiviCRM

Connect Microsoft Outlook 365 to CiviCRM

If you use Microsoft Outlook 365 for email, you can access contacts and groups in CiviCRM directly from Outlook. This is possible with the Outlook 365 Integration extension, developed by Jaap Jansma (CiviCoop) and further developed by others, including Agileware.

The extension provides an add-in for the web and desktop versions of Outlook 365. It allows you to:

  • search for contacts and groups in CiviCRM and select them as email recipients,
  • create new CiviCRM contacts from email senders and recipients and assign them to groups,
  • save emails as activities in CiviCRM and link them to the contacts involved.

The extension therefore lets you use CiviCRM from within Outlook. However, it is not a general solution for synchronising all Outlook data.

How Does the Integration Work?

The connection is made through an Outlook add-in that accesses your CiviCRM installation. Several steps are needed to set it up:

  1. Install the extensions: In addition to Outlook 365 Integration, you need the CiviCRM extensions Data Processor and API Key. They provide contact search functionality and help manage API keys for individual users.

  2. Make the Outlook add-in available: After installing the extension, the option Download Outlook 365 Manifest appears in the CiviCRM administration menu. You can use it to download an XML file describing the add-in for your CiviCRM installation. This manifest is then added to Outlook as a custom add-in. You can make the add-in available to individual users or deploy it centrally for an organisation.

  3. Connect to CiviCRM: When you open the add-in for the first time, you need three pieces of information: the REST URL of your CiviCRM installation (for CiviCRM Standalone: https://deine-domain.de/civicrm/ajax/rest), your installation's Site Key, and a personal API Key for the CiviCRM user. Outlook uses these credentials to communicate with CiviCRM APIv3. Each user needs their own API key. If the API Key extension is installed, you can find the Site Key and API Key on the contact record linked to the user.

  4. Configure access and search results: You must set the required permissions in CiviCRM. You can also use the Data Processor extension to decide which contacts, groups and information are available when searching from Outlook. For example, you can restrict access to specific contact groups.

Special Considerations for CiviCRM Standalone

In CiviCRM Standalone, installing the Outlook extension registers an additional permission called Access Outlook 365 pages.

You can find it under Administration → Users and Permissions → User Permissions.

The developer's installation guide says that this permission must also be granted to anonymous visitors. This allows the Outlook add-in to open its pages without an active CiviCRM browser session. In CiviCRM Standalone, this corresponds to the role All (including anonymous users).

You must explicitly assign the permission to this role. It is not assigned automatically during installation.

This permission is separate from authentication for accessing CiviCRM data. Each user still needs their personal API key and the appropriate access rights.

Installation and Setup

The developers provide an English step-by-step guide covering the installation of the extensions, the required permissions, the deployment of the Outlook add-in, and the connection settings.

A German-language guide is also available in the Software für Engagierte community. It includes practical setup tips, explains how to control access to contact data with Data Processor, and shares experiences from users. The article was published in 2022 and updated in 2023.

How This Guide Differs

The general CiviCRM documentation covers extensions, API keys, activities and permissions as separate topics. Our guide explains how they work together when integrating Microsoft Outlook 365. It also focuses on the permissions required in CiviCRM Standalone. For complete technical setup instructions for the Outlook add-in, refer to the developer's guide.

Documentation Status

Outlook 365 Integration: Research current as of October 19, 2026. Version 2.2.7, dated November 14, 2024, is listed in the CiviCRM extensions directory. Registration of the Outlook permission was checked in CiviCRM Standalone 6.19.1. The full functionality of the integration should be tested for each installation. For current setup instructions, refer to the developer's documentation.

General CiviCRM documentation: Accessed October 25, 2026. The linked manual chapters refer to the latest available English-language documentation ("latest").
